How do I invoice a deal, and who is owed what?

Record the invoice you raised in your own accounting system against the deal, and read the Statement tab for what each person has earned, been billed for and received. Nothing here takes a payment.

Open a deal, choose Checklist and documents, and the Invoices panel is below the checklist. The panel says what it is on its own heading: a record only, nothing here takes payment.

What an invoice record is

It is where your office writes down the invoice it raised in its own accounting system, so that what a deal is worth, who shares it, whether it has been billed and whether it has been settled can be answered in one place instead of four. The CRM does not produce the document, does not number it and does not send it.

  • Your invoice number — typed by you. Numbering is a legal requirement with a different answer in most markets, and it belongs to the system that issues the document.
  • Billed to — who the invoice went to.
  • Amount, and the Currency it is in. The currency starts as the deal's and can be changed, because an office may invoice in a different currency from the one the deal is recorded in.
  • Issued — the date on the invoice.

Choose Record invoice to save it. An invoice moves between Draft, Issued, Settled and Void. Settled means somebody told the CRM the money arrived somewhere else; the CRM neither saw it nor checked it. An invoice you no longer want becomes Void rather than being deleted — deleting it would leave the CRM quietly disagreeing with your books — and a void invoice has to be taken out of Void before it can be edited again.

No payment is taken on this screen or behind it. There is no card, no payment link, no charge and no payout anywhere in it. Housing Market Group is software: your invoices are raised, paid and reconciled in your own system, and the CRM records what you tell it.

The commission statement

The Statement tab on the Deals page answers who is owed what. Each party has a row with what they have Earned, what has been Received, and what is Outstanding, and under it the line that says how much was invoiced and how much of that was settled. What was billed sits beside what was earned rather than being netted against it: they come from two different sources and they often disagree, which is the thing an office needs to see rather than have hidden.

Each currency is shown on its own and never added to another. Invoices, commission splits, the Statement tab and the Forecast tab are part of Business; recording and tracking the deals themselves is part of Pro.
