What is an owner statement?

A month's account of what an owner's homes were due and what your agency recorded as received, divided by each owner's recorded share. It reports and never pays: Housing Market takes no cut, deducts nothing and pays nobody.

A statement reports, it never pays

Housing Market sets out what your agency recorded and does nothing else with it. There is no payout, no remittance, no bank detail, no balance carried forward and no settlement. There is also no management fee, no commission, no deduction and no expense line — our prices are fixed and billed to your subscription, so nothing is ever taken out of an owner's rent. A statement in this product is a report, and the transfer to the owner happens wherever it happens today.

What it is built from

One card per home and per tenancy in force, so a home that changed tenant mid-month gets two cards rather than one blended figure. Each card shows the rent agreed in the tenancy that was in force that month — not the rent agreed since — how many dates fell due and for how much, how many of them are recorded as received, anything waived, and the deposit.

There is a separate line for rent received for earlier months: a charge that fell due in March and was recorded as received in April belongs to April's statement as arrears, and to March's as still outstanding. Keeping the two apart is what stops a late payment appearing to be a second one.

A home with nobody in it is still on the statement, marked Empty for the month, because an owner asking what their portfolio did needs the empty ones named rather than missing.

Ownership is a period, so a sale lands correctly

An owner's period on a home is what decides the statement, not who owns it now. A home sold in June still puts May on the seller's statement, and the card says "Owned until" or "Owned from" where a month was only partly theirs. Where one owner's period ends on the day the next one's begins, that is read as a handover rather than as two people owning it at once.

Shares, and the one case that is left undivided

Where an owner's share is recorded, their figures are that share of the home's — forty per cent stays forty per cent and is never rounded up to the whole. Where nobody else held the home at the same time, the whole amount is theirs and the card says so.

Where a home is co-owned and no share is recorded, the CRM divides nothing. The card shows the home's full figures, apportioned to nobody, the home is counted in a warning at the top, and the amount is held out of the totals in its own line rather than folded into them. An equal split would be an invented number that reads exactly like a checked one, and half of a month's rent is not a rounding error.

Totals are per currency, side by side. Nothing is converted and there is no combined grand total, because a single figure across two currencies would be a rate somebody has to have chosen.

Recording one

The month you are looking at is worked out each time you ask and is not stored. Record this statement keeps a copy of exactly those figures so that what you sent an owner stays readable later; the money on a recorded statement is frozen, while names are read fresh each time, so correcting a contact's spelling does not leave the old spelling on old statements.

If a statement already exists for that owner and month, the button becomes Run this month again. The old one is archived rather than removed and the new one records which it replaces.

What is not here

  • No PDF, no spreadsheet, no print view and no email. Recording a statement keeps it inside the CRM; sending it to the owner is still something you do yourself.
  • No owner login. There is no owner portal, and an owner cannot sign in to read this.
  • No batch run. One owner and one month at a time.
  • No maintenance costs. Repairs are recorded on the maintenance screen and never appear on a statement, because no cost is recorded there either.

Recorded shares are set on the unit's ownership rather than on the statement. If the warning names homes with no share recorded, that is what it is asking for.
