What is Property management in the CRM?
A register of the homes your agency looks after for other people: each unit, who owns it, and for how long. It is part of Pro and Business, and it is separate from the properties you are selling or letting.
Choose Property management in the menu. It holds the units your agency looks after on behalf of owners who are somebody else — "Units, owners and tenants for the properties your agency manages", as the page puts it.
Why it is not just another property
A property elsewhere in the CRM is something you are selling or letting, and it is finished when the deal is. A managed unit outlives every tenancy in it, changes hands between owners without becoming a different home, and exists whether or not it is advertised anywhere at the moment. That is why it is a register of its own rather than a flag on a listing.
Adding a unit
- Choose Add a unit.
- Give it a Name, and a Reference if your office uses its own codes for units.
- Choose the Owner from your contacts. A unit always has at least one.
- Choose Save.
Search units finds one again, and the counter above the list shows how many of your allowance you have used.
Owners, shares and a sale
Ownership is a period rather than a name on a card, which is what lets the register hold the two things that turn up immediately: a home owned by a couple, three siblings or two investors sixty-forty, and a home that changed hands on a date. When an owner sells, their period is ended on that date instead of being overwritten, so a statement for the months they owned it still addresses the person who owned it then.
Shares may add up to less than the whole — an agency managing a forty per cent share for one investor is a real arrangement — and never to more. Three thirds recorded as 33.33 each are accepted. An owner has to be a contact you can already see.
Archiving
Nothing here is deleted. A unit you have stopped managing is archived: Show archived finds it, Restore brings it back, and its ownership history is left exactly as it was. An archived unit gives its place back, so you never need to destroy a record to make room for a new one.
Plans and how many units
Property management is part of Pro and Business, and is never on the free plan. Pro and Business both include 10 units: it is sold by the units you manage rather than by the people in your office, so the plan you are on does not change the allowance. The counter on the screen and the server's own refusal read the same number, so the screen cannot promise room the account has not got.
If you are full, the CRM says so and says which of the two things is wrong — your plan does not include this, or your plan is right and your account is full. Larger unit packs are not on sale yet, so every account is on the included allowance today; if you manage more than that, contact support rather than working around it.
