What is the compliance register?

One list of everything your office holds that expires — certificates, licences, permits, insurance and identity documents — with what has lapsed and what lapses within 30 days. The page is part of Business; the reminders are not.

Choose Compliance in the menu, under Properties. The register answers one question — what has your office got that runs out, and when — in a single list, instead of leaving it to whoever remembers.

What it lists

It is a view over the documents you already store in the CRM, not a second place to file things. Every document that carries an expiry date and is a certificate, a licence, a permit, an insurance policy or an identity document appears here, soonest first. A document with no expiry date does not: the register is about dates, so a document without one has nothing to say to it.

Each row shows the document, what kind it is, the date it runs out and where it stands: Expired, Lapsing soon or In date. Above the list, a count of what has already expired and what lapses within the next 30 days. Nothing is stored as "expired" — it is worked out each time you open the page, because expired is a fact about today rather than about the last time a job ran.

The dates are printed exactly as they are stored, year first, so a licence that runs out on 1 March is never read as 3 January — which is what one date looks like when two offices write it in two conventions.

Adding something to it

There is nothing to add here, and nothing to edit. A document reaches the register by having an expiry date, which you set where you upload it — on a contact, a listing, a lease or a deal. Give it an Expiry date there and it appears in the register from then on.

When something lapses

Nothing is switched off, revoked or hidden. The row stays where it is, turns to Expired and is counted, so the office can see it and deal with it. The CRM emails a reminder 30 days before any document in your vault expires, and that reminder is not part of any plan: it arrives on the free plan too, because an ID card expiring quietly is not an acceptable consequence of a subscription ending.

The register page itself is part of Business. What each of these kinds is called, and which body issues it, differs from one of our markets to the next, so the CRM keeps them generic and lets the document's own name say which one it actually is.
