What is the checklist on a deal?
A free-form list of the steps this transaction needs, in your own words, each with a date and a tick. A step with a date is emailed to the deal's owner three days before it is due, and once more if the date passes with the step still open.
A deal says what it is worth and where the money has got to. The checklist says what still has to happen. Open a deal and choose Checklist and documents.
Adding steps
Type the step into Step — the field's placeholder says "Whatever this market calls it", and that is exactly what it means. There are no step types, no templates and no list to choose from. "Deposit received", a survey booking and a transfer of title are the same kind of row here: a title you typed, a date, a tick. A dropdown would teach you that the right answer is one of our options, and in most of the markets we work in it would not be.
- Give the step a Due date if it has one, and choose Add step.
- Tick a step to complete it. The CRM records who ticked it and when.
- Move up and Move down reorder the list.
- The × beside a step removes it.
- The heading counts the work: 3 of 8 done.
A deal holds up to 200 steps, which is far more than a transaction needs and is there so a list cannot be filled up by accident.
Reminders
A step with a date is emailed to the deal's owner three days before it is due, and again once if the date passes with the step still open. Neither email repeats — you are not chased every day until it is ticked. Move the date and the step earns a fresh reminder, so a rescheduled step is not silently forgotten. Steps on an archived deal are skipped.
Adding to a checklist is part of Pro, but being reminded of what is already on one is not gated at all. An account that drops back to the free plan still gets its reminders, because a subscription ending is not a reason for a completion date to pass unnoticed.
Documents on a deal
Below the checklist, documents attach to the deal itself, so a transaction's contract, survey and mortgage offer sit with that transaction instead of beside every other deal the same client has ever done. They are the same document vault as everywhere else in the CRM, with the same categories and the same expiry reminder. Documents attach to the deal, not to a single step.
A signature can be captured in person on the screen with Capture a signature. Sending a document away to be signed remotely is not switched on: the CRM says so plainly if it is ever offered to you, and in-person capture is unaffected.
