How does reverse matching work?

On Pro, when one of your listings goes live the CRM finds the contacts whose requirements it suits, tells you, and lets you send it to them in one step once you confirm they asked for matching properties.

The usual search starts from a buyer and looks for listings that suit them. Reverse matching works the other way round: it starts from a listing and finds the buyers on your list who would want it. It is part of Pro.

  • Record what a buyer is looking for on their lead — the market, sale or rent, property type, bedrooms, bathrooms, city and budget.
  • When one of your listings is published on the portal, the CRM checks it against those requirements and notifies you that it has matches.
  • Open Buyer matches in the left menu. Each of your live listings with matches shows how many of your contacts match it; open one to see who matched and on what.
  • Tick “These buyers asked me to send them properties that match what they are looking for.”, then select Send to the matching contacts.

The confirmation is needed on every send. The box starts unticked each time and is never remembered, the send button stays unavailable until it is ticked, and your confirmation is recorded with the send.

Buyers from the Germany, Spain and Cyprus portals

A buyer whose enquiry came from the Germany, Spain or Cyprus portal is included only once you have recorded their opt-in. When the listing itself is on one of those portals, the same applies to every buyer. Until then the buyer shows as Needs a recorded opt-in and is left out of the send.

  • Open the buyer's lead and find Matching listings by email.
  • Tick “This buyer agreed to receive matching listings by email”.
  • Under How did they agree?, say how — for example “asked by email on 3 October” — and select Record opt-in.

The date, your note and who recorded it are kept on the contact. Remove opt-in takes it away again.

Who is left out, and how buyers stop these emails

A buyer receives at most 3 of these emails from your account in any 7 days. A buyer who has already had 3 shows as Weekly limit reached and is skipped that time.

A matched buyer who cannot be emailed — there is no contact on the lead, the contact has no email address, they unsubscribed from your emails, their address is suppressed after a bounce, a complaint or an unsubscribe, they need a recorded opt-in, or they reached the weekly limit — is named on the screen with the reason, rather than the send quietly reaching fewer people than it showed you.

The email goes out under your name via the portal, and replies come straight to your own email address. It has no unsubscribe link in the text. Instead, the buyer's email app shows its own one-click unsubscribe option, and the footer tells the buyer to use it or to reply to the email. An unsubscribe stops emails to that address from every agent, not only from you.

Buyer matches is in the menu on every plan. On Free it explains what the feature does and offers Pro instead of a list.

A listing is treated as live when the portal has approved it, whether you added it on the portal or published it from the CRM.
